The following is the Tank Museum general rental policy.
You will find that it covers most of the aspects of the facility rental. If you should have

E-MAIL the museum. The Museum staff looks forward to
helping you plan a spectacular event here at the Tank Museum.
General:
The Tank Museum allows rental of the entire facility or several smaller areas such as, the classroom,
main exhibit hall,
cafe area and grounds to individuals and organizations, who complete
the enclosed application, and adhere to all rules set forth in this
policy.
Individuals and/or organizations wishing rental space do not have
to be affiliated with the museum. The museum does reserve the right
to decline any application for rental with or without cause. Such refusals are final.
Insurance:
The applicant seeking rental facilities at the Tank Museum agrees to
assume full financial liability and responsibility for any damage or
loss of objects/property at to the museum, and for any accident, injury
or loss/damage of objects/property incurred by the applicant and/or
applicant's guests during or as a result of the rental of the facility,
including legal fees should they become necessary.
By the signing of a rental agreement, the applicant does
hereby indemnify and hold harmless the American Armoured
Foundation, Inc., (The Tank Museum) its officers, staff, directors,
volunteers, and employees from suit, action, damages, liability and
expense in connection with personal injury, death, property damage,
loss or theft resulting from the use of the museum facilities. The
applicant also shall accept full responsibility and liability for any
personal injury or property loss and/or damage to anyone including 3rd parties arising from
or in connection with the applicant's rental event. The Tank Museum
requires that American Armoured Foundation, Inc. be named as an
additional co-insured party under the applicant's comprehensive
general liability insurance policy with a limit of no less than
One Million Dollars ($1,000,000.00) per occurrence to protect the
applicant and the Tank Museum and its officers, staff, directors, volunteers, and
employees against any claims on
such death, personal injury or property loss or damage.
Rental facilities:
The Museum has several areas that may be rented:
the main exhibit hall, the cafe area, and the classroom
all with access to restrooms. The outside grounds would require a
rental of portable toilets that is at the applicant's expense.
The entire Museum facility
Main exhibit area is a 100,000 sq. foot open area
up to 400 people can be accommodated
Cafe area is on the lower level and is ideal for small group rentals
50 people or less
Classroom area is carpeted and can seat up to 45 people
(business meetings)
By special application the library, laboratory, cryogenics room, sewing room, and restoration shop (s) can be rented.
Call for details concerning these areas special rental requirements.
The Museum does not have a kitchen area, and can not provide food storage.
All tables and chairs must be rented from museum only.
The Museum can also provide a podium and sound equipment

Supervision:
The Tank Museum requires that a minimum of one museum security staff
person be present at all rental functions. If your event is over 100
people an additional security staff person will be required. For events
over 150 people and certain types of special events the Museum may require
additional security personnel. The first staff security person is
included in the rental fee, the second and any additional security staff personnel
will be an extra $25.00 an hour per security staff person. A 6 hour
minimum is required for each additional security staff.
Alcoholic Beverages:
The applicant is hereby notified that the applicant or the
caterer must comply with all the applicable laws and liquor
regulations. If alcohol is to be served, an additional $250 fee
will be required due to increased liability. All permits required by the Department of Alcoholic
Beverage Control in the Commonwealth of Virginia, and local
governmental entities are the responsibility of the applicant/
applicant's caterer. These permits must be displayed at the
applicant's event. The applicant is also required to indemnify,
protect and hold harmless the American Armoured Foundation, Inc.,
( The Tank Museum) its staff, directors, officers, volunteers, and employees
from and against any and all deaths, injury, losses, costs, damages,
claims, demands, and expenses resulting from the serving of alcoholic
beverages at the event.
Please be advised that museum security personal will take steps
necessary to protect its property and reputation, including asking
you to remove any disruptive quests, call law enforcement authorities,
and/or close the facility and terminate the event. All security staff
will be armed for protection.
All bartenders and personnel handling or serving alcohol beverages
must be 21 years of age or older and will not serve a minor
( anyone under 21 years of age) or to serve anyone showing signs
of inebriation. All beverages will be required to be served in
drinking glass or cups.
Smoking ~ Drugs:
Smoking is not permitted in the museum facility.
The museum is a smoke free environment. Illegal drugs are not
permitted on museum property. If drugs are found or suspected,
law enforcement authorities will be called immediately.
Parking:
The Museum has parking available on the premises. A charge may be
rendered for special parking requirements.
MISC:
Rice throwing is not allowed on museum property. Bird seed will be
allowed outside the museum facility only.
No helium filled balloons without weights will be allowed in
the facility.
All candles must be in glass containers.
All flower arrangements and plants must be clean and free of pests.
All decorations and signs must be free standing.
Signs on walls, pillar, and/or glass are not permitted.
Banners may be hung with prior approval and by museum staff personnel
only. A fee of $25.00 will apply per banner if approved.
No food or drink will be permitted in areas outside the rental area.
No touching, climbing or handling of any museum artifact or item.
No exhibits or artifacts will be moved to accommodate rentals.
No trespassing beyond any museum barrier.
Applicant must use a licensed and approved by the Museum caterer
who must provide a copy of its current liability and workmen's
compensation insurance and a valid and current health department
certificate. A 15% catering fee will be levied by the museum and
must be paid on the day of the event.
No guns, ammunition, pyrotechnics without prior approval. If approved additional fee will apply.
No cell phones allowed; exceptions: Doctor's, EMT's, Fireman, and law enforcement personnel.
No animals except those required by the handicapped.
No open flames and/or fires are allowed in the museum facility.
This includes, but is not
limited to, stage presentations.
If young children will be attending the event, the applicant is
responsible to see that they are supervised at all times.
This is a museum facility not a playground.
Rental of the Museum facilities will not take precedence over
scheduled Museum functions.
Rental of individual facility areas does not include access to the entire
facility and museum collection. Barriers will be in place and
security will strictly control access to the facility.
The entire museum facility may be rented during an event when there
is an event minimum of 25 people. Special fees apply.
(see rental agreement for fee structure).
Rental opening and closing hours of the main building, and café area must be arranged for in advance,
rentals may not exceed 11PM.
Use of the facility for events involving admissions, fees, raffles,
contributions, tickets, or fund raising of any kind is not permitted
except for events co-sponsored with the museum, or with prior approval
of the Museum.
The applicant is responsible for all expenses in connection with the
event. This includes but is not limited to catering arrangements,
setting up and breaking down of equipment and cleaning the area
immediately after use. This is considered part of your rental hours and must take place during those
hours. All arrangements for the event including set up, scheduling
deliveries, and removal of rental items must be cleared with museum
contact person before each occurrence.
Tables and chairs will be set out in rental area. It is the
responsibility of the applicant/caterer to set up and break down
tables and chairs. The museum's staff can also provide this service. ( see fee schedule)
It is the responsibility of the applicant/caterer to provide all
necessary linens, dinnerware, silverware, cups, napkins, serving
utensils, etc. for the event.
The applicant, caterer and a museum staff person must meet two weeks
prior to event to go over all requirements.
Clean up and removal of trash is the responsibility of the applicant. All trash, floral arrangements, and decorations
must be removed from premises.
The museum is not responsible for any equipment delivered to or picked
up from the museum for the event. All equipment must be removed from
the museum immediately following the event within the scheduled rental
hours, unless other arrangements have been made in advance.
Please be advised that you the applicant are responsibility for the
actions of your guests, vendors, and/or organization. You will be held
responsible for any damage or excessive clean up caused by your guests
. Any and all fees levied due to damage or excessive clean up will be
determined solely by the museum staff.
Applicant must pay a nonrefundable deposit of 25% at time of rental
contract signing. The balance, which is also nonrefundable, must be paid in full (seven) 7 days prior
to the event, except the 15% caterer's fee which will be due the day
of the event.
All fee schedules, and/or policies are all subject to change
without prior notification.
Higher rate may apply for rental during museum normal business hours.
